The Challenge

Lack of visibility across vehicles and assets created operational blind spots

Founded in 2001, Greenways Landscape & Services is a family-owned commercial landscaping company based in Aurora, Colorado. Serving developers, builders, and businesses in the Denver metro area, Greenways delivers landscape installation, maintenance, and enhancements for commercial properties. The company operates with approximately 40 team members during peak season and manages a mixed fleet of 58 powered and unpowered assets, including trucks, tractors, skid steers, trailers, and mowers.

As Greenways has grown over the past 25 years, so has the complexity of keeping track of their equipment and employees. The company had an older GPS system, but the Greenways team found it unreliable and ultimately stopped using it for anything beyond meeting basic insurance requirements. In an industry where conditions change quickly without warning, the lack of real-time visibility created real operational blind spots. "I was constantly making phone calls and chasing down information just to answer simple questions about where our vehicles, equipment, and crews were located," said Ryan DePew, Operations and Production Manager. "It created a lot of unnecessary day-to-day uncertainty and impacted our responsiveness."

Moreover, without visibility into routes and time spent on job sites, Greenways was absorbing the costs of inefficient crew dispatching, including indirect routes and unscheduled stops. DePew knew he needed technology that would give Greenways comprehensive visibility into their daily operations.

The Solution

A platform for real-time tracking, turnkey integrations, and easy onboarding

When DePew set out to find a new solution, he used AI to identify the top fleet tracking and GPS software companies, which identified several providers, including Samsara. After completing demos with each provider, he came away with a winner. "It was clear that Samsara was the best option," DePew said. "When I was able to see an asset moving in real time, I was sold. It was exactly what we needed."

In addition, Samsara's ability to easily integrate with Greenways' existing fleet maintenance software, Fleetio, played an important role in DePew's decision. "We had been using Fleetio to track fuel consumption, mileage, and hours, which is critical for both operational planning and diesel off-road tax purposes," he said. "Samsara's native integration means that this information flows automatically from our Vehicle Gateways into our maintenance records, eliminating manual data entry and mistakes that usually come with it."

DePew took a staged approach to the rollout, installing Vehicle Gateways in managers' trucks first and then expanding with Asset Tag on unpowered equipment. Beyond the hardware installation, Samsara's built-in AI assistant helped DePew navigate the platform during onboarding without the need for extensive outside support. "Samsara Assistant was a huge help throughout the entire onboarding process," he said. "Using it to find where things were, or ask questions about how to use it, helped me navigate the software and saved hours of time every week."

The Results

Saving $70K per year due to improved visibility and efficiency

With Samsara, Greenways now has a complete view of their entire operation. DePew mounted a large display in the company's meeting room that shows a live bird's-eye view of every vehicle and asset, an always-on reference that has changed how the team communicates and makes decisions throughout the day. "Instead of making phone calls, I can just look at the display and see where our vehicles and crews are anytime I need to," DePew said. Moreover, optimized routes and improved accountability have enabled Greenways to eliminate redundant crews, helping the company save $70,000 annually.

Beyond route efficiency, Samsara has also become a resource for resolving payroll issues. When crew members forget to clock into a job or scheduling gaps leave time unaccounted for, DePew pulls up the breadcrumb trail from a Vehicle Gateway to reconstruct crew location and movements. "We've been able to use Samsara to see how long crews were at job sites and build timesheets," he said. "It's not a replacement for our time-tracking system, but Samsara is a reliable source of truth if other data is missing."

For equipment tracking, Samsara Asset Tag has helped Greenways manage their unpowered assets more effectively. Before, trailers and smaller equipment often lacked proper identification and were difficult to track, leading to confusion and time lost searching. It also created significant theft exposure: Greenways was losing $50,000 in equipment per year due to theft. Since implementing Samsara, the company has experienced zero theft-related losses. "Naming our equipment and knowing where it is gives me peace of mind," said DePew. "With Samsara, we have a reliable way to track and recover the assets that are vital to our operations."
