The Challenge

Manual processes and lagging data left Pitney Bowes' operations reactive instead of proactive

Pitney Bowes Presort Services operates the largest presort network in the United States, helping clients of all sizes—from small businesses to most of the Fortune 500—mail smarter, reduce postage, and improve deliverability. Their transportation team connects processing centers nationwide, running millions of miles a year to move mail from clients to Pitney Bowes facilities and on to the U.S. Postal Service—all with 300 drivers and 500 pieces of equipment. Most of that volume is First-Class mail and highly time-sensitive, so the operation runs with efficiency and little room for blind spots.

Before Samsara, the team relied heavily on spreadsheets and paper inspection reports, and each center tracked its yard differently. Their previous telematics and ELD provider left roughly a 20-minute gap between where a truck appeared on the map and where it actually was, making real-time decisions impossible. When something went wrong, dispatchers had to call drivers to find out where they were—and with time-sensitive mail, a single delay or breakdown could cascade into cost and client impact. "When I started 18 years ago, we were in a very reactive world," said Aaron Burr, National Transportation Director. "Now we're in a proactive world, thanks to Samsara."

The Solution

Consolidating a diverse, national fleet onto one connected platform

Pitney Bowes turned to Samsara to replace lagging data and manual processes with one connected platform that could scale across the entire operation. Since 2020, the partnership has grown with the deployment of Samsara Vehicle Gateways, AI Dash Cams, Commercial Navigation, Asset Tag, Connected Maintenance, and more—consolidating safety, telematics, navigation, asset tracking, and maintenance into a single source of truth. A priority from the start was lightweight hardware the team could install and move itself, without a third party or downtime, so their operational visibility could expand as fast as the business needed it.

What began as a search for a trailer tracker grew into a fleet-wide standard, giving the team real-time visibility it had never had. The result is an operation that plans ahead instead of reacting—one where dispatch, safety, and maintenance decisions all draw on the same data.

CONNECTED MAINTENANCE

Saving up to 15 hours per service event and accurately forecasting spend month over month

With Samsara Connected Maintenance, the team unified vendor data from Penske, Ryder, and other vendors into a single source of truth across the fleet—turning its most variable cost into a managed, forecastable program. Fault-code insights flag issues early, giving them a head start with vendors and roadside support, while part-level cost data lets finance forecast spend month over month. Connected Maintenance also standardizes processes, giving the team one place to see every location's inspections and letting automations do the routing. Across the network, the team estimates this already saves five to seven hours a week, with 10 to 15 projected as adoption grows.

CAMERAS AND VIDEO

Achieving a 99 Safety Score fleetwide, powered by AI Dash Cams, coaching, and driver recognition

Pitney Bowes uses Samsara AI Dash Cams and Safety Scores to get ahead of risk before it becomes an incident. Footage from dual-facing cameras also takes the friction out of coaching by grounding feedback in evidence, which facilitates buy-in from drivers. Their commitment to safety has seen their nationwide fleet hold a Safety Score of 99.

ASSET TAG

Tracking freight worth millions and rightsizing the fleet

Samsara Asset Tags brought visibility to freight that once went dark the moment it left the private fleet. Pitney Bowes places Asset Tags on pallets moving with for-hire carriers into rural areas, using the Samsara Network to overcome tracking gaps.

COMMERCIAL NAVIGATION

Supporting on-time delivery and protecting equipment from restricted roads

Most Pitney Bowes vehicles are straight trucks or tractor-trailers with a clearance of 13 feet or above, which makes routing them safely a constant challenge. Samsara Commercial Navigation gives drivers truck-specific routing that steers them away from low bridges, tight clearances, and non-commercial roads, while real-time reroutes around accidents and construction protect on-time delivery.

FLEET TELEMATICS

Replacing a 20-minute GPS lag with real-time visibility for better on-time delivery

Samsara Vehicle Gateways, HOS, and real-time GPS replaced the previous provider's 20-minute lag with a live view of the entire fleet, allowing dispatch to see delays and stops as they happen. Real-time visibility lets the team proactively share live tracking links so clients can know the ETA of their deliveries and prepare their docks ahead of arrival, offering a better customer experience.
